Creating Calendar Invites [BETA]

To start creating a new Invite, click the Create Invite button at the top right of the Blasts > Invites page.

When creating an invite, there are four pieces that will help inform and reach your audience: Invite Info, Description, Location, and Audience. Only Invite Info and Audience are required before sending is available, however, including Description and Location information will help encourage participation and engagement.

Invite Info

Invite Info is the first step in creating your Invite. When clicking Create Invite, this will bring you to the initialized state, where you are required to fill out the basic Invite Info in order to save a draft.

The initial Invite fields are required to continue with creating your Invite.

Title

Insert an Invite Title. This Title will be displayed in the calendar details and email.

Start Date and Time

Date: Click the Calendar button to select the date the event begins, or type in a date (US Format MM/DD/YYYY).

Time: From the Calendar selection menu, select the Clock to enter a time or type in the time after selecting the date in the text field.

End Date and Time

Date: Click the Calendar button to select a date the event will end, or type in a date (US Format: MM/DD/YYYY).

Time: From the Calendar selection menu, select the Clock to enter a time or type in the time after selecting the date in the text field.

Time Zone

Automatically set to your Organization Default. Click the Drop Down menu to select other options.

Organizer Name

The name of who is hosting or sending the Invite.

Organizer Email

Type the email address the Invite will appear to be sent from. If the Organizer email is included as an invitee, this person's experience may differ than the audience.

For best experience, the Organizer email should be an email address of a contact within your organization's directory.

Important: The Organizer email address may receive accept or reject response emails for the Invite depending on their personal preferences.

We recommend using a group or aliased mailbox or preemptively creating email filters to ensure the organizer does not receive a flood of communications in response to the Invite.

After inputting the required fields, click Save and Continue to save your Invite's first Draft, then continue adding details.

Description (Optional)

Fill out your Invite with relevant details about the Invite event's purpose, plan, or expectations.

Descriptions support formatting options, including:

  • Bold

  • Italics

  • Underlining

  • Numbered Lists

  • Bulleted Lists

  • Hyperlinks

Because of the technology used to send Invites is built on calendaring systems, formatting options and file size are limited. To ensure we are able to send to everyone, a 3000 Character limit is in place. This includes any HTML that we utilize to provide styling or hyperlinks. Keep an eye on the character count in the top right corner.

Pro-Cerkler Tip: Do you have a lot of information you'd like to share? You can create an Event with more information and information in the Content hub, then include a public link to the Event page within your Invite description.

After you've input your Description details, click Keep to confirm the entered information and continue editing your Invite.

Location (Optional)

Meeting Link

Input a URL to join a virtual meeting.

Depending on the calendar service and meeting link source, certain calendar systems will automatically add a 'Join Meeting' button directly in the calendar Invite details. For example, Google Calendar will automatically add this for Google Meeting links.

Physical Location

Type to enter a physical location. By default, our system will search addresses based on Google results.

However, even when you're Physical Location is simply Meeting Room B, you can simply type that in and continue without selecting from the search results.

Access Details

Input the meeting access details. These might include special driving instructions, codes for door access, or for virtual meetings. Access details are often provided automatically when generating links for events, so sharing those details is recommended.

Audience

Click the Audience Builder button to get started adding Segments and select Individuals to your Invite.


Add Segments

Segments can be be found under the default filter options: My Segments, Shared with Me, Global, and All.

When searching, we recommend selecting the 'All' option to search through all Segments you have access to use.

Click Add to include the Segment in your Target Audience.

Invites support unlimited Invitees within Segments.

Add Individuals

To add Individuals, type to search with the Individuals tab selected. Search utilizes First name, Last name, and Email address to find subscribers who are already in your Audience.

Click Add to include the Individual in your Target Audience.

Invites support up to 50 Individuals, in addition to any Segments.

After you've input your Audience, click Keep to confirm the Audience selections and continue editing your Invite.

Review

Before sending, verify the Invite details preview on the right includes all of the information your wish to include.

We recommend testing by utilizing the Send Sample button. This will send a sample Invite to your Team Member email address.

Send Sample supports only sending to the Team Member who is currently signed in - if other Team Members which to perform a test, please click Save Draft to allow them to access the Invite and perform a Send Sample Test from their account.

Send

When you're ready, click the Send Invite button (top right corner).

Before sending begins to process, a confirmation prompt is presented.

Please select Go Back to make further adjustments, or Send Invite to confirm the start of sending.

After sending is complete, you can review the Invite under the Upcoming table - if you or your team need to make adjustments to the Invite details or audience, or cancel the Invite, edit options are available.
